Privacy Policy

This Privacy Policy describes how RosterKit ("we", "our", or "the app") handles information. RosterKit is published by Philip Vieyra.

1. What RosterKit Does

RosterKit is a shift roster management tool. It consists of two apps:

• RosterKit Manager — for managers to build rosters, manage staff records, and send shift confirmations via calendar files (.ics).
• RosterKit Staff — for staff members to submit their weekly availability to their manager.

All data entered into RosterKit is stored on your device only. We do not operate any servers that receive, store, or process your data.

2. Information Stored on Your Device

RosterKit Manager stores the following data locally on your device:

• Staff profiles: names, email addresses, phone numbers, roles, and employment type
• Job types and pay rates you define
• Location/venue names and addresses
• Weekly roster assignments
• Imported staff availability data
• Your manager profile: name, email address, organisation name, and roster code
• Your PIN, stored as a SHA-256 cryptographic hash — the raw PIN is never stored

RosterKit Staff stores the following data locally on your device:

• Your name, email address, and role
• Your weekly availability selections

3. How Data Leaves the Device

Data leaves your device only in two circumstances, both initiated by you:

• .ics calendar files — when a manager sends shift confirmations, the app generates a calendar file and opens your device's mail app. The file is sent from your own email account. We are not involved in the transmission.
• .json availability files — when a staff member submits availability, the app generates a file for download and opens your device's mail app. The file is sent from your own email account. We are not involved in the transmission.

We do not transmit any data to our own servers at any time.

4. Subscriptions and Payments

RosterKit Manager offers an optional paid subscription ($5.99 AUD/month or $59.99 AUD/year) processed entirely through Apple's App Store. We do not collect or store any payment card information or billing details. All payment data is handled by Apple. Please refer to Apple's Privacy Policy for information on how Apple handles payment data.

To manage or cancel your subscription, go to Settings → Apple ID → Subscriptions on your device.

5. Analytics and Tracking

RosterKit does not include any analytics, crash reporting, advertising SDKs, or third-party tracking of any kind. We do not collect device identifiers, advertising IDs, or usage statistics.

6. Third-Party Services

The only third party involved in the operation of RosterKit is Apple, which provides the App Store, in-app purchase infrastructure, and iCloud (if you enable device backups). We do not integrate with any other third-party services.

7. Data Retention and Deletion

All your data is stored in your device's local storage. To delete all RosterKit data, uninstall the app from your device. We have no ability to access, retrieve, or delete data on your behalf.

8. Children's Privacy

RosterKit is not directed at children under the age of 13. We do not knowingly collect information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The effective date at the top of this page will be updated accordingly. Continued use of the app after changes constitutes acceptance of the updated policy.
